This institutional project aims to identify, classify, and track IT equipment used in research, including computers, servers, storage devices, specialized software, and other essential digital assets. Its goals are to strengthen the protection of sensitive data, ensure compliance with internal policies—such as Policy 116—and address audit recommendations.
The initiative is fully aligned with the University's Digital Campus Transformation Plan. It supports high-impact research, modernizes technological infrastructure, and enhances data management. It also aligns with the objectives of Transformation 2030 by promoting responsible, sustainable, and innovative IT asset management.
Several foundational components are already in place. A standardized operating procedure has been developed, along with key performance indicators, matrices clarifying roles and responsibilitiesand training materials. A dashboard illustrating the status of research IT assets is currently being developed and bulk upload testing is underway to streamline asset tracking.
The next steps are promising: completing inventories in the faculties already involved, launching them in the remaining ones, and presenting the data classification framework to governance committees this summer.
This project will introduce standardized inventory practices and improve visibility into IT Research assets. While respecting the diversity of faculty environments, it offers a flexible and tailored approach to meet each faculty’s unique needs.
