Improving Faculty of Social Sciences students’ Co-op Placement & Compliance Management platform

This Faculty of Social Sciences centralized platform streamlines file tracking for placement coordinators and strengthens collaboration with the risk management team. It replaces informal practices, eliminates the use of personal email accounts, and reduces the risks associated with storing sensitive documents on local devices.

Since the launch of its first version in 2023, the Faculty of Social Sciences’ digital placement management tool has undergone significant improvements. It now offers:

  • Automated transmission of documents and communications to the appropriate stakeholders.
  • A dedicated student portal allowing the secure upload of sensitive documents (e.g., immunization records, criminal background checks) anytime, from anywhere.
  • A real-time overview of student placements across partner organizations.

This initiative aligns closely with the objectives of the University’s Digital Campus Transformation Plan by promoting more secure, consistent, and sustainable service delivery. It also supports the goals of Transformation 2030, particularly by enhancing the efficiency and structure of experiential learning.

With overall positive feedback from the users, the next steps include the ongoing collection of user feedback at the end of each cycle to guide future improvements.

The Faculty of Social Sciences is also open to collaborating with other faculties and administrative units to expand the use of this tool across the institution. This collaborative approach would not only help harmonize placement and compliance processes but also strengthen security, transparency, and operational efficiency university-wide—ultimately enhancing the experience for students, staff, and external partners alike.
