General Elections to the Board of Governors for Full-time Members of the Academic Staff - Candidates' Guide Book

Here are the dates and important deadlines, as well as the election procedures, that you must know before you can be confirmed as a candidate.

Number of Board Seats Available

The following seat on the Board of Governors is available in the 2025 Faculty election: 

  • One position for a term from October 29, 2025 to June 30, 2028 

Important dates

  • September 8, 2025: Beginning of the call for nomination period
  • September 17, 2025 at noon: End of the call for nomination period (including the submission of a short bilingual biography, a bilingual letter of intention and a photo)
  • September 23, 2025: Beginning of the campaigning period
  • October 1st, 2025 at 11:59 pm: End of the campaigning period
  • October 2 to 7, 2025  at noon: On-line voting
  • October 8, 2025: Announcement of the provisional results
  • October 8 to 10, 2025: Appeal period
  • October 28, 2025: Appointment by the Board of Governors
  • October 29, 2025: Announcement of the elected candidate

Eligibility to nominate and stand for election

In order to be eligible to stand as a candidate for election to the Board, nominees must be full-time Faculty members at the University of Ottawa.

Nominations

Duly completed nomination forms accompanied by a short bilingual biography, a bilingual letter of intention and a photo must be submitted to the Office of the Secretary-General at [email protected], by September 17, 2025 at noon.

Incomplete nominations or nominations submitted after the deadline will not be accepted.

The candidate will be acclaimed if only one valid nomination is received.

We will hold an election if there is more than one candidate. 

Validation of nominations

Validation of nominations will take place on Friday, September 19, 2025 and candidates will be advised of the results as soon as practicable thereafter.

Candidates may withdraw their nominations by submitting a signed statement to the Office of the Secretary-General at [email protected].

Biography and Photo

A short bilingual biography, a bilingual letter of intention and a photo will be posted on the Board election website and must be sent by email to the Office of the Secretary-General at [email protected], by September 17, 2025 at noon

Campaigning

Candidates may start campaigning once their candidacy has been confirmed by the Office of the Secretary-General. Each candidate has the right to campaign and inform Faculty members of their candidacy; all candidates are given the opportunity to have their biography, letter of intention and photo posted on the Board of Governors website.

  • Campaigning will begin on Tuesday, September 23, 2025 and will end on Wednesday, October 1st, 2025 at 11:59 pm.
  • The use of electronic media such as Facebook, X (Twitter) and other social networks, personal emails and websites is permitted. 

Voting

Online voting will take place from Thursday, October 2, 2025 to Tuesday, October 7, 2025 at noon. Eligible members of the Faculty will receive an email with an individualized link to vote. 

Counts

Provisional results will be made available on Wednesday, October 8, 2025 and final results of the election will be made available on Wednesday, October 29, 2025.
